How Project Time works.

Record

Getting started

On first launch, a short introduction walks you through the app. There you decide whether your data syncs through iCloud and, if you like, create your first project. You can also track time without any project. You can open the introduction again at any time under Settings › Help › Show Introduction.

The Record screen with a running timer and a second one under “Also running”

Starting and stopping a timer

In the Record section, “Start” starts a timer, and the note holds what you are working on. “Pause” stops the clock for a break, which does not count as working time. “Stop” finishes the entry.

Something comes up? The plus at the top right starts another recording. The first timer keeps running under “Also running”, where you can pause and stop it separately. Up to five timers can run at once.

Settings › Recording › Show note suggestions

Recent notes appear as suggestions at the bottom of the note field, and a tap picks one. When the setting is off, no suggestions appear.

The “Change start time” screen over the Record screen, with 1 the project, 2 “Running since …” and 3 “Billable” ringed.

Project, start time and billable

These three places are easy to miss, but you can tap them:

Choosing the project: Tap the project above the note and pick another one or “No Project”. This works before you start and while the timer runs.

Changing the start time: Started too late? Tap “Running since …” and correct the start time. The timer keeps running, and the entry is marked as edited.

Billable: New entries take their project's setting, and a tap switches it. Reports and the PDF show billable and non-billable time separately.

You can change all of this later: tap the entry under Reports.

The “Set up Action Button” steps from the app's settings

Without opening the app

Action button: If your iPhone has an Action button, open Action Button in the iPhone's Settings, swipe to the “Controls” option and tap “Control”. Select “Project Time”, and you are done. One press starts the timer, the next stops it. The app has the same steps under Settings › Help › Set up Action Button.

Control Center: On iPhone, iPad and Mac, you can add the “Project Time” control to Control Center.

Mac menu bar: While a timer runs, the menu bar shows its time next to the Project Time icon. Click it to open a window where you start, pause and stop timers, pick the project and write the note.

Settings › Recording › Quick Start

Sets the project the Action button, Control Center and the menu bar start a timer with: “Last used” takes the project of the latest entry, “No project” starts without one, “Fixed project” always uses the project you pick below it.

Reports

The Reports section with the month's total in industrial hours and the summary per project

Reports and industrial hours

Reports shows your time for this month, last month or a custom period, filtered by project if you like. A tap on “Total” expands a summary per project.

A tap on the total below it switches the whole report between hours:minutes and industrial hours: 2:45 h becomes 2.75 h.

Settings › Report › Project Names

“Short” shows your projects' short names in Reports, “Full” their full names. A project without a short name always shows its full name.

The “New Entry” editor with project, “Billable”, start, end, break and note

Adding time later

Forgot to start the timer? Tap the plus under Reports and enter the project, start, end, break and note. You also set there whether the entry is billable. Tap an existing entry to change or delete it.

Settings › Report › Flag overlapping entries

Entries that overlap in time are marked orange, likely duplicates red, and the app points out both before an export. When the setting is off, the marks and the warning go away.

The Reports section with times rounded to 15 minutes and the tracked time below

Rounding and tracked time

If you bill in fixed increments, such as 15 minutes, let the app round: each entry is then rounded up to the increment you choose. This affects reports and exports only; the tracked times stay exact.

Settings › Report › Rounding

Choose no rounding or rounding up to 5, 6, 10, 15, 30 or 60 minutes. The picture rounds to 15 minutes, so an entry of 1:50 h counts as 2:00 h.

Settings › Report › Show tracked time

Appears as soon as you round. Each day and the summary then also show the exact time before rounding, in the picture “Tracked 21:50 h” under 22:00 h.

The first page of a PDF report with an example logo, the title “Timesheet”, a subtitle, the summary and the entries per project

PDF and CSV requires Project Time Pro

The share button at the top of Reports exports the selected period. The PDF sums it up and lists every entry per project, for example to attach to an invoice. The CSV file has one row per entry with project, start and end as date and time, break, hours, billable and note, so a spreadsheet can calculate with it. Running timers are left out of both.

The PDF in the picture carries an example logo, the title “Timesheet” and the subtitle “Jane Doe”.

Settings › Export

Logo
Appears at the top right of the PDF, such as your company logo. You pick it from Photos or Files, on the Mac from a file.
Report Title
The heading of the PDF, such as “Timesheet”. If left empty, it reads “Project Time”.
Subtitle
The line under the heading, such as your name. If left empty, there is none.
Project Names
Whether the PDF and the CSV contain the full project names, the default, or the short names.
Include exact times
The PDF and the CSV contain the start, end and break of every entry. When the setting is off, they list only the date and the duration.
Show industrial hours in PDF
Adds a column to the summary with the billable time as a decimal number, such as 2.75 h for 2:45 h.

Projects

The project editor with name, short name, color and the setting “Billable by default”

Creating and ordering projects

In the Projects section, the plus creates a new project, and a tap on a project opens it for editing. To reorder, drag a project by its handle. When you delete a project that has entries, you first decide whether its entries move to another project or are deleted along with it.

Projects › Edit Project

Name and short name
The short name is optional. Whether reports and exports use it is set under “Project Names” in Settings › Report and Settings › Export.
Color
Marks the project on the Record screen, in Reports and in the color bar of the total.
Billable by default
Sets whether new entries of the project start as billable. Each entry can still be switched on its own.

Settings

The Data section of Settings with iCloud Sync and backup

iCloud, backup and deleting

iCloud Sync
Keeps projects, entries, settings and the logo up to date on all your devices through your private iCloud. You decide on each device, in the introduction or here. Switching it on merges the device's projects and entries with those in your iCloud, and nothing is lost. For settings, the ones in iCloud apply. Switching it off keeps everything, but new changes then stay on this device. Changes usually reach your other devices within one to two minutes, otherwise the next time you open the app.
Automatic Backup requires Project Time Pro
Saves a dated backup to a folder of your choice whenever you leave the app, such as in iCloud Drive or on the device. “Back Up Now” saves one right away. Each device keeps its 45 newest backups.
Save Backup…
Saves all projects and entries to a file, once.
Restore Backup…
Adds everything that is missing from the backup and never deletes anything. With iCloud, restoring on one device is enough; the others receive the data through iCloud.
Delete All Data…
At the very bottom of Settings. Removes all projects, entries and settings, with iCloud on your other devices too, and then shows the introduction again. You confirm by typing “DELETE”, and you can save a backup first. Backups in the backup folder are kept, and automatic backup is switched off.

Trial and subscription

Tracking, editing, projects and filtering are free. PDF and CSV export, the logo and automatic backup are part of Project Time Pro, available as a monthly or yearly subscription. The app and the App Store show you the price in your country.

One subscription for all your devices: Project Time is a single app for iPhone, iPad and Mac. One subscription therefore unlocks Project Time Pro on every device signed in with the same Apple Account.

Your first export or automatic backup lets you try Project Time Pro free for 7 days. The trial ends by itself, and nothing is charged. A subscription, on the other hand, renews automatically until you cancel it.

Settings › Subscription shows whether Project Time Pro is active or how long the trial still runs. There you subscribe, restore your subscription after switching devices with “Restore Purchases”, and manage or cancel it. You can also manage and cancel it in the Settings of your iPhone or iPad under your name › Subscriptions, and on the Mac in the App Store.
